This new role within the DLUHC Knowledge and Information Management (KIM) Team is an opportunity to help design and build a strong, user driven digital environment that supports DLUHC in achieving its priorities whilst ensuring compliance with information management legislation and best practice.

Job description

The role will be responsible for:

• Developing and supporting the effective use of Microsoft 365 tools and technology to manage our knowledge and information
• Embedding KIM practice into projects and procurement of IT systems, to ensure systems are designed and procured with KIM in mind
• Working agilely across teams to embed user-led, regulatory compliant KIM best practice into projects and policies as needed
• Managing the DLUHC approach to external sharing of DLUHC information, including advising and supporting staff on their sharing needs and liaising with IT and cyber to ensure the most appropriate technical solutions
• Identifying and leading on projects to improve and enhance KIM within DLUHC’s IT structure, making effective use of Microsoft 365 features to promote good KIM practice and to improve our approach to accessing, storing and retrieving our information
• Leading on liaison with colleagues in cyber, IT and other key stakeholders, building a coherent, collaborative approach to ensuring everyone’s interests are represented in policy and guidance development
• Working flexibly within the KIM Team to participate in other KIM projects (e.g. embedding lifecycle management and disposition of digital information) as required

Person specification

The successful person in this role will have the following experience and skills:

1. Experience of managing information in Microsoft 365
2. Be comfortable using IT applications and learning about new IT systems
3. Experience or understanding of records management processes, for example, lifecycle management, policies and dispositions
4. Experience of working with related professions, e.g. digital, IT, cyber or security, on areas of common interest
5. A KIM professional, or have a strong working knowledge of what good information management looks like 

The following will also be an advantage:

6. Knowledge or understanding of KIM legislation, in data protection
7. Knowledge or experience of digital working practices, being comfortable working in a changing digital environment and adapting swiftly to change
8. Be self-motivated and prepared to get involved in a range of tasks 
9. Be highly organised, able to manage a complex workload and keep accurate records of their activities 
10. Be a strong communicator, able to deliver messages effectively to different audiences and to negotiate and influence discussion to ensure the KIM voice is heard
11. Be a strong team player, able to work effectively across the KIM Team and to build relationships with key stakeholders from across the Department and external stakeholders

Grade 7 salary

  • The salary for this role is £54,632 (London) or £49,697 (National).

  • For existing civil servants, the usual policy on level transfer and promotion will apply and is non-negotiable.

Internal Fraud Database

The Internal Fraud function of the Fraud, Error, Debt and Grants Function at the Cabinet Office processes details of civil servants who have been dismissed for committing internal fraud, or who would have been dismissed had they not resigned.The Cabinet Office receives the details from participating government organisations of civil servants who have been dismissed, or who would have been dismissed had they not resigned, for internal fraud. In instances such as this, civil servants are then banned for 5 years from further employment in the civil service. The Cabinet Office then processes this data and discloses a limited dataset back to DLUHC as a participating government organisations. DLUHC then carry out the pre employment checks so as to detect instances where known fraudsters are attempting to reapply for roles in the civil service. In this way, the policy is ensured and the repetition of internal fraud is prevented.
